Should I invoice per session or monthly?
Monthly invoicing is better for cash flow and client retention. It's easier for clients to budget, and you spend less time chasing individual session payments. Offer a slight discount for monthly packages to encourage upfront payment.
How do I handle missed sessions?
Add your cancellation policy to the Notes/Terms section: e.g., 'Sessions cancelled with less than 24 hours notice will be charged at 50% of the session rate.' This protects your income and sets clear expectations.

Package vs. Per-Session Invoicing

Personal trainers typically offer one of two billing structures:

Per-session billing: Invoice for sessions delivered, typically at the end of the week or month. List the date, session type, and fee for each session. This works well for clients who train infrequently or whose schedule varies significantly.

Package billing: Invoice for a block of sessions upfront at a package rate. Include a clear session counter on the invoice — "Sessions included: 10. Sessions remaining after this purchase: 10." This helps clients track their progress and understand the value of the package.

Including Programs and Assessments on Invoices

Many trainers provide value beyond in-person sessions — custom workout programs, nutrition guidance, fitness assessments, and progress tracking. These services deserve their own line items. "Custom 12-week periodized training program" is a distinct deliverable worth a distinct fee, separate from the coaching sessions that support it.

Handling Cancellations on Invoices

Your cancellation policy should appear on every invoice: typically, 24-hour advance notice is required to avoid charging for a session. When you invoice a late cancellation fee, reference the specific session date that was cancelled to make the charge self-explanatory and difficult to dispute.

Payment Timing and Terms

Issue invoices at the start of each package or at the start of the month for ongoing clients. Net 7 terms are reasonable for fitness services — clients are accustomed to paying for memberships and sessions promptly. Accepting credit cards or digital payments reduces friction significantly compared to cash or check.
